Barcode and Variable Data Labels: What to Plan For
Variable data allows information to change from one label to the next. That may include barcodes, QR codes, sequential numbers, serial numbers or other identifiers. Good results depend on clean source data and artwork planned around the variable area.
Define what changes
List every field that varies and every element that remains fixed. A project may combine a consistent brand design with a changing code, number or line of text.
Confirm how many unique records are required and whether any values repeat. Establishing this before artwork review helps prevent mismatches between quantities and the supplied data.
Prepare reliable source data
Provide variable information in an organized spreadsheet or agreed data format. Use clear column headings, keep formatting consistent and remove duplicate or blank records unless they are intentional.
For sequential numbering, identify the starting value, ending value, number of digits and whether leading zeroes are required. For encoded symbols, confirm exactly what each barcode or QR code should contain.
Allow enough room in the artwork
Barcodes and changing text need sufficient clear space. Avoid placing critical variable elements too close to trim lines, decorative graphics or areas where the package shape may distort the label.
Barcode size, contrast and intended scanning conditions should be considered during design. A code that looks tidy on screen may not be appropriate once reduced, printed and applied to a curved or reflective package.
Review representative proofs
Proofs should show the fixed artwork and representative variable records. Check spelling, number formats, code content and placement before production.
